Out of School Provision - Den

Elan’s obligations to parents:

  • to provide the service we have stated we will provide, with qualified staff and at the times published;

  • to provide a safe, healthy and stimulating environment for the children in our care;

  • to provide regular updates, feedback and discussion opportunities with parents;

  • to provide healthy and nutritious food which is prepared fresh on the premises;

  • to maintain secure records in respect of your child, particularly with regard to personal information, medical data, parent’s contact details and progress reports;

  • to inform you of any contagious illnesses that have affected the Provision, or if your child is unwell, or of any accidents that have involved your child;

  • to administer GP prescribed medicine to your child in accordance with a written authority from you.

  • to inform parents immediately if in the event of an emergency, the child has been taken to A&E or the emergency services are attending the nursery;

  • to release the child only into your care or the care of someone authorised by you on the Registration form;

  • to issue a monthly invoice for the regular sessions by the 20th of the previous month

  • to provide the following methods of payment of fees: cash, cheque, standing order, childcare vouchers, visa/mastercard/switch/delta;

  • we will provide 4 weeks notice of any change in either the service to be provided or fee amendments;

  • we will take complaints seriously and deal with them quickly;

  • we have a policy of treating all children equally regardless of sex, race, religion, ethnic or national origin, or disability. This policy also extends to the recruitment and training and development of staff, as well as our interaction with parents. We do not tolerate racism or any other form of discrimination.

Parent’s obligations to Elan:

  • to complete the registration form as fully as possible and to inform us immediately of any changes to personal or contact details or of new information;

  • to provide written authorities for persons other than the parents to collect the child from the Den. This authority will include a recent photograph of each authorised person or a password;

  • to provide a written authority for Elan to be able to administer GP prescribed medicine to the child in accordance with the GP’s instructions;

  • to pay a registration fee of £50 which is non-refundable if you change your mind, but which is refundable if we have no place available at the agreed time.

  • to pay for all regular sessions unless the setting is closed such as inset days and holidays in accordance with St Andrews primary school. Fees will not be reimbursed for non-attendance;

  • to pay for ad-hoc sessions at the prevailing rate. Ad-hoc sessions may be booked up to 2.00pm on the day subject to availability. 24 hours notice to cancel the ad-hoc session is required in order to secure a refund.

  • to pay all monthly fees by the 1st of the month. Late payment incurs a surcharge of £20 for every week that the account remains outstanding. Cheques which have to be represented will also incur a surcharge for bank fees;

  • to pay a deposit of £100 which will be repaid after the final month of the child’s attendance at the setting by way of a cheque;

  • not to employ (directly or indirectly) any of our staff whilst they are employed by Elan or within 6 months of their leaving, unless otherwise agreed. A breach of this will incur an introduction fee payable by the parent/carer of £500;

  • to collect or have the child collected from the Den at the appointed time, or incur an additional cost of £5 per 15 minutes;

  • to inform us if your child is not to be collected from school by 2.00pm on the booked day. Failure to do so will incur a surcharge of £5.

  • to inform us of any illness the child may have, particularly of a contagious nature, and agree to keep the child away from the setting until the sickness or the contagious period is over. Fees will not be reimbursed for periods of illness, although
    management discretion will used in the case of long-term illnesses;

  • to abide by our health and safety policies, in particular to comply with our no smoking policy;

  • to discuss with us any ideas you have for enhancing the service we can provide, any anxieties you may have, or any complaints of a minor nature. More serious complaints should be put in writing and will be dealt with by the management;

And finally, for both parties:

  • Neither party shall be liable in damages or have the right to terminate this Contract for any delay or default in performing hereunder if such delay or default is caused by conditions beyond its control including but not limited to acts of God, government restrictions, wars, insurrections and/or any other cause beyond the reasonable control of the party whose performance is affected.
